Privacy Disclosure and Consent

1. Introduction

As a valued client of Olympia Financial Group Inc. and Olympia Trust Company, (collectively known as Olympia), we respect your privacy and are committed to keeping personal information about you strictly between us. Olympia is committed to comply with Canada’s Personal Information Protection and Electronic Documents Act (“PIPEDA”), as well as other Provincial Privacy Acts. Additionally, Olympia is governed by the Loans & Trust Corporation. Our commitment to respect the confidentiality of your personal information is contained in the enclosed document, which incorporates 10 principles of our Privacy Code.

2. Personal Information

Personal information is information about an identifiable individual. Personal information can include you name, address, telephone number (home and business), e-mail address, date of birth, place of employment and Social Insurance Number. The amount and nature of the personal information Olympia may require will depend on the nature of the products or services you request. For certain products or services, such as financial services, additional appropriate personal information may be collected to provide you with the particular service or product you have requested. The choice to provide personal information is always yours, but may affect the availability and quality of the products and services provided by Olympia.

3. Your Personal Information Is Used for Proper Purposes Only

Olympia will safeguard your personal information and use it only for the purposes that it was collected or as permitted under applicable laws. Olympia will not sell, rent or give away your personal information. Olympia does contract with certain service providers approved by Olympia and all suppliers are bound by strict contractual obligations designed to protect the privacy and security of your personal information.

4. Olympia Employees

Olympia employees are informed of the importance of protecting your privacy. Employees are expected to maintain the confidentiality of Olympia member information at all times.

5. Olympia’s Commitment

Olympia will protect your privacy, and in particular your personal information, in accordance with the 10 Principles of Privacy which have been established by the Government of Canada and the Government of Alberta.

6. Information Collected to Date

Olympia would like to have your consent to continue to collect, use and disclose your personal information for the purposes identified above. Olympia is operating on the understanding that Olympia has your consent to collect, use and disclose your personal information collected to date. You may refuse or withdraw your consent at any time, subject to legal or contractual restrictions and providing Olympia with reasonable notice of the withdrawal of your consent. If you choose to withdraw consent or not provide certain personal information, your decision may limit the services and products Olympia can offer and may make it more difficult for Olympia to provide you with advice.

7. Fees

Olympia may charge, in accordance with applicable laws, a reasonable fee for access to personal information and for making copies of personal information requested.

8. Third Parties

With respect to all records, Olympia does not share nonpublic personal information with any non-affiliated third-party, except as necessary to process a transaction or as permitted by law. Our affiliates and outside service providers with whom we share information are legally bound not to disclose the information in any manner, unless permitted by law or other governmental process. We restrict access to your personal information to those employees who need to know the information to provide our services to you and the issuers we represent. Olympia maintains physical, electronic and procedural safeguards to protect your personal information.

Olympia Financial Group Inc. and Olympia Trust Company (“Olympia”) commit to comply with the Personal Information Protection and Electronic Documents Act which includes the following 10 principles for the protection of personal information:

1. Accountability: Olympia is responsible for personal information under our control. We have designated all employees to be accountable for our compliance with the Privacy Code. Olympia has also appointed the Vice President of Corporate and Shareholder Services as our Chief of Privacy Officer.

2. Identifying Purposes: Olympia will identify the purposes for which personal information is collected at or before the time the information is collected.

3. Consent: Consent is required for Olympia’s collection, use or disclosure of personal information, except where required or permitted by law.

4. Limiting Collection: Personal information collected will be limited to that which is necessary for the purposes identified by Olympia.

5. Limiting Use, Disclosure and Retention: Olympia will not use or disclose personal information for purposes other than those for which the information was collected, except with you consent or as required by law. Olympia will retain personal information only for as long as is necessary to fulfill the purposes for collecting such information.

6. Accuracy: Personal information will be maintained by Olympia in an accurate, complete and up-to-date form as is necessary to fulfill the purposes for which the personal information is to be used.

7. Safeguards: Olympia will protect personal information with security safeguards appropriate to the sensitivity of the information.

8. Openness: Olympia will make readily available its policies and practices relating to the management of personal information.

9. Customer Access: Upon request Olympia will inform you of the existence use and disclosure of your personal information, subject to any legal restriction. You may verify the accuracy and completeness of your personal information, and may request that the information be corrected or updated, if appropriate.
