Securityholder Communications
Olympia Trust is committed to providing prompt, accurate and personalized service to meet the needs of your securityholders and the investment community from sophisticated to first time investor. We take the time to clearly understand the nature of the query and provide the most up to date and complete response whether by telephone, email, written communication or a visit to our office. Where research is required, the securityholder will be notified and parameters will be set for the completion of the inquiry.
Securityholder Mailing Services
We understand the regulatory requirements and time-sensitive nature of corporate mailings, and will work with you to ensure that all mailings are completed with precision, cost effectiveness and within prescribed deadlines. Through ongoing communications with you and your representatives (ie. lawyers, communications firms, printers, etc.) we are able to quickly respond to any last minute changes and handle any special or rush mailing requests.
National Instrument 54-101
NI 54-101 sets out the guidelines for public companies in how they communicate with their beneficial securityholders. We at Olympia Trust have the expertise to be able to guide your company through the various requirements, help you establish the critical deadlines and determine responsibilities in the execution of initiatives in accordance with the regulatory requirements.
The search procedures established through NI 54-101 can also be a useful tool in obtaining analytical data with respect to your beneficial securityholders, such as geographic distribution, board lot holdings, total number of securityholders, etc. We will deal directly with the brokerage firms, financial institutions and other intermediaries to compile the information you require.
Securityholder Meetings
Olympia Trust provides professional and experienced scrutineers who have successfully planned and executed Annual General and/or Special meetings of varying complexity and size. We tabulate proxy votes in accordance with established protocol, provide continuous and up to date reporting of tabulation results and alert you should there be a concern with voting patterns and quorum requirements prior to the meeting.
Should there be a need for a proxy solicitation or voting by ballot, you can be confident that we will lead you through the entire process and handle all requirements in an efficient and professional manner. Corporate Reorganizations
In our capacity as Depository or Agent during mergers, acquisitions or other corporate reorganizations, Olympia Trust is able to offer advice from the onset of the project to ensure the administration of the reorganization meets your requirements and address possible securityholder concerns. For many investors, the intricacy of reorganizations may prove to be very confusing. We can offer your securityholders complete, concise information to assist them in making their elections and in completing the Letter of Acceptance / Transmittal.

Corporate Disbursements
From dividend and interest payments to unitholder distributions our systems make any type of disbursement (Cash or Stock) a normal event and maintains all the pertinent disbursement history online for quick research for shareholder inquiries and tax form preparation. We also offer Regular or Premium Distribution Reinvestment Services for which we will act as Plan Agent.
