Role Summary

As an Estate and Taxation Coordinator, your primary roles include guiding the executor and/or beneficiaries through the estate settlement process at Olympia Trust Company. You will be responsible to complete daily, monthly and annual taxation requirements and are expected to team up with RRSP professionals and external tax specialists to provide comprehensive tax services including calculation, compliance, audit, research and submission service. You will work closely with the Estate and Taxation Officer and is required to contribute to a flexible, team-oriented environment that fosters development and a positive attitude.

Duties and Responsibilities

  • Upholds the division and Olympia’s reputation and values, while promoting our motto “With Us, It’s Personal” in all interactions with employees, clients and business associates
  • Remain up to date on all Olympia products, services, legislative requirements
  • Monitor the Quebec and Canadian Revenue Agency (CRA) websites ensuring all newly released and updated documents are appropriately saved and procedures changed as required
  • Submit withholding tax on a monthly basis to CRA (Federal and Quebec)
  • CRA Correspondence and processing including Admin Relief, Requirement to Pay, Maintenance Enforcement and Requests for Information
  • Assist in the developments of estate settlement policies and procedures for the division, and be able to explain process to executors and beneficiaries
  • Explain the estate settlement process to executors and/or beneficiaries following Olympia Trust Company’s Customer Service Standards
  • Have a clear understanding of the tax reporting requirements, including but not limited to, T4 RSP, T4 RIF, T3 and T5
  • Perform regular follow-up on all pending estates files
  • Move accounts through the estate settlement process and conduct research as required
  • Maintain organized files on pending estates and ensure all account information on the internal system is up to date, complete and accurate
  • Support the Estate and Taxation Officer as required
  • Coordinating responses with other departments as necessary to ensure proper procedures and service
  • Owns the execution of day to day operational activities to maintain effective and efficient customer services

Qualifications and Years of Experience

  • High school Diploma
  • Diploma is Business Administration or related field of study is beneficial
  • Bachelor’s degree in Management, Economics or related field of study is an asset
  • 1-2 Years of administrative experience is required
  • 2 Years of prior financial services industry experience is required
  • General knowledge of Registered Plans, TFSAs and RESPs is required
  • 2-3 Years of understanding of relevant legal and investment terminology as well as concepts
  • 1-2 Years of legal, accounting, trust experience and tax experience is preferred

Specialized skills, knowledge or certifications

  • Requires a thorough understanding of the Anti‐Money Laundering (AML) policies and procedures, as well as penalties for not meeting those standards
  • Intermediate level with Outlook and Microsoft Office products and internet application
  • Successful completion of a Criminal Background check is required
  • Bilingual is beneficial
